Stock
Each product keeps its own stock, recorded on its Stock tab. Every time goods arrive or leave, you record a movement in one of your warehouses: the current stock is updated and the movement is kept in the product's history. You can move units from one warehouse to another, and manage your warehouses from the Products screen. You can also set a threshold below which the product is flagged as low, and see the paid orders that are waiting for stock.
Record stock coming in or going out
- Open the main menu and, under Catalog, click Products, then open the product.
- Click the Stock tab.
- Click Record a movement.
- In Grade, select the grade the movement applies to.
- In Movement type, choose Stock in or Stock out.
- Enter the Quantity, greater than zero. Optionally, note a Reason.
- In Warehouse, select the warehouse the goods arrive at or leave from. Your primary warehouse is selected first.
- Click Record.
The message The stock movement has been recorded. appears and the Current stock is updated.
Note — A stock out can't take more units than the selected warehouse holds: the message The movement could not be saved. Select activated warehouses and a valid grade; the source warehouse must hold enough units. appears and nothing is recorded.
View a product's stock history
- Open the product, then click the Stock tab.
- Read the Movement history table.
Each movement shows its Date, its Type (Stock in, Stock out or Adjustment), the Quantity and the Resulting stock. When there is no movement yet, No stock movements yet. is shown.
See a product's stock by warehouse
- Open the product, then click the Stock tab.
- Read the table of locations: each of your warehouses is listed for each grade, with its Status and the Quantity it holds, even when it holds none.
- Below it, read the latest movements of each warehouse: the Warehouse, the Grade, the Movement (such as Stock in, Stock out or Transfer), the Quantity, the Remaining stock and the Date.
When no warehouse has moved yet, No warehouse movements yet is shown.
Transfer stock between warehouses
A transfer moves units of one grade from one warehouse to another. It never changes the product's total stock.
- Open the product, then click the Stock tab.
- Click Transfer stock.
- In From warehouse, select the warehouse the units leave.
- In To warehouse, select a different warehouse.
- If the product has grades, select one in Grade.
- Enter the Quantity. Optionally, note a Reason.
- Click Save.
The message The movement was saved. appears.
Note — Both warehouses must be activated and the source warehouse must hold enough units of that grade. Otherwise the message The movement could not be saved. Select activated warehouses and a valid grade; the source warehouse must hold enough units. appears and nothing moves.
Manage your warehouses
Your shop always has one primary warehouse. It receives the stock you add without choosing a location, such as the opening stock of a new product or an import, and automatic order reservations take units from it first. You can add other warehouses.
- Open the main menu and, under Catalog, click Products.
- Click the Warehouse tab. Each warehouse is listed with its Status, its Address, its Units in stock and whether it is the Primary warehouse.
- To add one, click Add a warehouse. To change one, click Edit on its row.
- Enter the Warehouse name, choose its Status and, in Primary warehouse, choose Yes or No.
- Optionally, fill in its address: Country, Street address, Address line 2, Postal code and City.
- Click Save.
The message The warehouse was saved. appears.
Note — An address is optional, but once you start one, the street address, the city and the country are required. Making another warehouse primary doesn't move any stock.
To remove a warehouse, click Delete on its row, then click Delete again to confirm. The message The warehouse was removed. appears and its history is kept.
Important — A warehouse that still holds stock can't be disabled or removed: transfer its units first. The primary warehouse can't be disabled or removed either: make another activated warehouse primary first.
Set a low-stock alert threshold
- Open the product, then click the Stock tab.
- Click Edit the threshold.
- In Low stock threshold, enter the stock level at which the product should be flagged, as a whole number between 0 and 9999.
- Click Save.
The message Changes saved. appears.
Note — A threshold of 0 turns the alert off. Setting a threshold never changes the stock itself — record a movement for that.
Spot products under their threshold
- Open the main menu and, under Catalog, click Products. The screen opens on its Overview tab.
- Read the Low stock figure: it counts the products whose stock is at or below their alert threshold.
- Open a product: when it is low, its Stock card shows Low stock: this product is at or below its alert threshold.
Record a stock-in movement to bring the product back above its threshold.
See the orders waiting for stock
When a paid order can't take its stock, it waits on a dedicated tab.
- Open the main menu and, under Orders & logistics, click Orders.
- Click the Awaiting stock tab.
Each order is listed with the Product and Grade that hold it back and the Reason, such as Not enough stock. When nothing is waiting, No order is waiting for stock is shown. To download the list, click Export preorders.
Tip — If the units are physically there but the figures don't say so, click Move to preparation on the order's row, then Move to preparation again to confirm. No unit is taken from stock: record a stock movement on the product if its figures must follow.
